Approval-first templates for small agencies

Polite invoice reminders that make the next step clear.

Use these templates as a starting point—not an automatic collection sequence. Confirm the facts, match the customer relationship, obtain internal approval, and route disputes or sensitive issues outside the reminder lane.

Operating controls

The message is only one part of the system.

  • Assign an owner. One person owns the next action and date.
  • Record the contact. Log when, how, and to whom the message was sent.
  • Stop on an exception. Disputes, incorrect amounts, legal questions, and settlement requests leave the standard sequence.
  • Respect the relationship. Adjust timing and tone to the customer, contract, and known facts.
  • Review weekly. Confirm which invoices moved, stalled, or need leadership attention.

Are the other four controls working?

A polished email cannot compensate for missing ownership, unreliable aging data, weak exception routing, or no weekly review.
